The duties of a data entry clerk typically revolve around accurately inputting, updating, and maintaining information in computer systems and databases. Here are the key responsibilities:

  1. Data Entry: Entering data from various sources (paper documents, electronic files, forms, etc.) into computer systems or databases accurately and efficiently.
  2. Verification: Reviewing and verifying the accuracy of data entered, ensuring that information is complete, consistent, and error-free.
  3. Updating and Maintaining Records: Updating existing data and performing regular maintenance on databases or records to ensure data integrity and reliability.
  4. Data Cleansing: Identifying and correcting any inaccuracies, duplicates, or inconsistencies in data entries to maintain quality and reliability of information.
  5. Organizing Files and Documents: Sorting and organizing paperwork and digital files, maintaining orderly records for easy retrieval and reference.
  6. Data Security: Adhering to data confidentiality and security policies to protect sensitive information from unauthorized access or breaches.
  7. Typing and Keyboard Skills: Possessing proficient typing and keyboard skills to enter data quickly and accurately.
  8. Using Data Entry Software and Tools: Utilizing data entry software, spreadsheets (e.g., Microsoft Excel), and other tools to perform tasks efficiently.
  9. Meeting Deadlines: Completing data entry tasks within specified timelines and meeting productivity targets set by supervisors or management.
  10. Communication: Occasionally communicating with colleagues or supervisors to clarify data entry instructions, resolve discrepancies, or provide status updates on tasks.
  11. Attention to Detail: Paying close attention to detail to ensure data accuracy and completeness, identifying and correcting errors promptly.
  12. Multitasking: Handling multiple data entry tasks simultaneously, prioritizing work effectively, and managing time efficiently to meet deadlines.

While the primary responsibility of a data entry clerk is entering and maintaining data accurately, they may also be involved in related administrative tasks depending on the organization’s needs. Strong organizational skills, attention to detail, and proficiency with computer software are essential for success in this role.

  • The intern is responsible for assisting the Accounting department with data entry, processing payments, recording transactions, updating the ledger, assisting with audits or fact-checking, filing, preparing budgets and reports and other duties as requested by the Finance Department
    • Record journal entries in the accounting system as instructed by the senior accountant.
    • Experience in handling petty cash, preparing vouchers, and accounts payable. Booking all retail petty cash expenses and reconciliation of the petty cash account on a monthly basis.
    • Assists the senior accountant in doing cash counts and inventory of fixed assets on a regular basis.
    • Coordinate with the Head Cashier on daily cash transactions from the showroom and check for any discrepancies upon reconciliation.
    • File all approved journal entries and supporting documents in an organized manner.
    • Assisting in the reconciliation of accounts, investigating and correcting discrepancies.
    • Responsible for other related issues as assigned by direct supervisors.
    • Assisting in the preparation of month-end balance sheet reconciliations. Compile monthly reports and assist with month-end closing.
